A shorter workweek does not start with downloading four tools. It starts with finding one recurring workflow that deserves attention.
The “10-hour week” is a direction, not a promised result. Your outcome depends on the work, its frequency, the quality of your source information, and whether someone owns the system after launch.
For a lead-rich service business, the first useful workflow may be inbound follow-up. For another team, it may be turning delivery knowledge into a repeatable handoff. Both connect to business value: revenue is protected when leads receive a reliable response, and company knowledge becomes more durable when it does not live only in one employee’s head.

Stage 1: Define the workflow and finish line
Write down five things:
- What starts the workflow?
- What information does it need?
- What result should it produce?
- Who reviews exceptions?

“Help with email” is too vague. “Draft a response to new estimate requests using our approved service-area and scheduling rules, then route it to the sales coordinator for review” is testable.
Capture a simple baseline for one week: how often the work occurs, how long it takes, where errors happen, and what a delay costs. That gives you something more useful than an assumed savings number.
Stage 2: Reduce input friction
If typing slows down drafts, notes, or process capture, voice input can be a useful first layer. Do not assume every account can create or change a calendar event. Write actions depend on the action available to your account and the scopes you granted, and they require confirmation. Review the proposed change before approving it.
Connecting company email or calendars is a data decision, not just a convenience setting. Use approved accounts and grant only the access the workflow needs.
Stage 4: Turn a real process into reviewed company knowledge
Use an account approved by your company and choose a low-risk process recording that excludes sensitive client, employee, payment, or regulated information. Record a short Loom while the process owner completes the task. Upload the supported video to Gemini and ask for:
- a numbered draft procedure;
- required inputs and expected outputs;
- decisions that need a human;
- gaps or ambiguous steps.

Stage 5: Automate only the stable handoff
Once the inputs, decisions, and expected result are clear, automate the deterministic steps: move an approved form submission to the right system, create a task, or notify an owner.

Keep a human review step for judgment, promises, pricing, client communication, and changes to company records. A workflow is not reliable because it ran once. It is reliable when someone can see failures, correct exceptions, and confirm the output still meets its acceptance criteria.
A practical four-week sequence
Week 1: Measure one recurring workflow and choose a clear success condition.
Week 2: Reduce input friction and test one bounded AI task with non-sensitive information.
Week 3: Document the process, review the draft, and test it with another person.
Week 4: Automate one stable handoff, assign an owner, and review the results.
